Visionetix Technologies (Pty) Ltd ("Visionetix", "we", "us", "our") respects your privacy and is committed to protecting your personal information in accordance with the Protection of Personal Information Act 4 of 2013 ("POPIA"). This Privacy Policy explains what personal information we collect, why we collect it, how we use and protect it, and what rights you have regarding your information.
This Policy applies to personal information collected through our website (www.visionetix.co.za), in-store, telephonically, or in the course of providing IT support, repair, and reseller services to you.
1. Information We Collect
Depending on how you interact with us, we may collect the following categories of personal information:
- Contact details: name, surname, phone number, email address, physical or delivery address.
- Order and billing information: products purchased, order history, payment method used (we do not store full card numbers — these are processed by our payment provider).
- Device and repair information: device make, model, serial number, fault description, and any data necessarily accessed to diagnose or repair the device.
- Account information: if you register an account on our website, your login details and preferences.
- Communications: records of emails, WhatsApp messages, or calls between you and Visionetix relating to orders, quotes, or support.
- Technical information: IP address, browser type, and website usage data, collected automatically when you visit our website.
2. How We Use Your Information
We use your personal information for the following purposes:
- To process and fulfil your orders, including arranging delivery through our courier partners;
- To provide IT support and repair services, including contacting you with quotes, updates, and collection notices;
- To communicate with you about your orders, queries, or account;
- To send you invoices, statements, and, where you have consented, promotional or marketing communications;
- To improve our website, products, and services;
- To comply with our legal, tax, and regulatory obligations;
- To detect and prevent fraud or misuse of our website and services.
We only collect the personal information that is reasonably necessary for these purposes, in line with POPIA's principle of minimality.
3. Legal Basis for Processing
We process your personal information on one or more of the following grounds: your consent, the necessity of processing to perform a contract with you (such as fulfilling an order or repair), compliance with a legal obligation (such as tax record-keeping), or our legitimate business interests, provided these do not override your rights and interests.
4. Sharing Your Information
We do not sell your personal information. We may share your information with trusted third parties strictly where necessary to provide our services, including:
- Courier and delivery partners (such as The Courier Guy), to deliver your order;
- Payment processors and financial institutions, to process payments securely;
- Product suppliers and manufacturers, where required for warranty claims;
- Municipal or business clients' authorized representatives, where we act under a service agreement with them;
- Professional advisors (such as our accountant or attorney) and regulators, where required by law.
We require any third party we share personal information with to keep it secure and to use it only for the purpose for which it was shared.
5. Data Security
We implement reasonable technical and organizational measures to protect your personal information against loss, unauthorized access, alteration, or disclosure, including access controls, secure storage of physical and digital records, and restricted access to devices submitted for repair. While we take security seriously, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
6. Data Retention
We retain personal information only for as long as necessary to fulfil the purposes described in this Policy, or as required by law (for example, tax and financial records are generally retained for five years in accordance with South African tax legislation). Device and repair records are retained for a reasonable period to support warranty claims and after-sales support.
7. Your Rights
Subject to POPIA, you have the right to:
- Request access to the personal information we hold about you;
- Request correction or updating of inaccurate or outdated information;
- Request deletion of your personal information, subject to our legal retention obligations;
- Object to the processing of your personal information for direct marketing purposes, and opt out of marketing communications at any time;
- Withdraw consent, where processing is based on consent, without affecting the lawfulness of processing carried out before withdrawal;
- Lodge a complaint with the Information Regulator of South Africa if you believe your information has been processed unlawfully.

8. Cookies and Website Analytics
Our Website may use cookies or similar technologies to improve your browsing experience and to understand how visitors use the Website. You can adjust your browser settings to refuse cookies, although this may affect certain features of the Website.
9. Children's Privacy
Our Website and services are not directed at children under the age of 18. We do not knowingly collect personal information from children without the consent of a parent or legal guardian, in accordance with POPIA.

These Terms of Service ("Terms") govern your access to and use of the website www.visionetix.co.za (the "Website"), and your purchase of products or engagement of IT support, repair, and related services ("Services") from Visionetix Technologies (Pty) Ltd ("Visionetix", "we", "us", "our"). By accessing the Website, placing an order, or engaging our Services, you ("you", "the Customer") agree to be bound by these Terms. If you do not agree, please do not use the Website or our Services.
These Terms should be read together with our Privacy Policy and our Returns & Repair Policy, both of which are incorporated into these Terms by reference and available on our Website.
1. Who We Are
Visionetix Technologies (Pty) Ltd is a private company registered in South Africa (Registration Number 2023/236047/07), operating from 7 Church Street, Britstown, Northern Cape, 8782. We supply and resell computer hardware, laptops, notebooks, phones, and related accessories, and provide IT support, device repair, and related technology services to individuals, small and medium enterprises, and municipal clients.

2. Eligibility and Acceptance
By using the Website or engaging our Services, you confirm that you are at least 18 years old, or that you have the consent of a parent or legal guardian, and that you have the legal capacity to enter into a binding agreement. If you are using the Website or our Services on behalf of a business or organization, you confirm that you have the authority to bind that entity to these Terms.
3. Products, Pricing, and Availability
We take reasonable care to ensure that product descriptions, images, and prices displayed on the Website are accurate and current. However:
- Prices are quoted in South African Rand (ZAR) and are subject to change without prior notice.
- All prices include VAT where applicable, unless stated otherwise.
- Product images are for illustrative purposes and may differ slightly from the actual item supplied (e.g. packaging updates by the manufacturer).
- Stock availability is not guaranteed. If an item you have ordered is unavailable, we will notify you and offer a substitute, a backorder, or a full refund.
- In the event of an obvious pricing or listing error, we reserve the right to cancel the order and refund any amount paid, in accordance with the Consumer Protection Act 68 of 2008 ("CPA").
4. Orders and Payment
When you place an order through the Website, in-store, or telephonically, you are making an offer to purchase, which we may accept or decline at our discretion (for example, where stock is unavailable or payment cannot be verified). A binding sale is concluded once we confirm your order in writing (including by email or WhatsApp) or issue an invoice.
Accepted payment methods include electronic funds transfer (EFT), card payment, and other methods as displayed on the Website or communicated by us from time to time. Full payment, or an agreed deposit, is required before goods are dispatched or services commenced, unless other credit terms have been agreed with you in writing (as is the case for certain municipal and business clients).
5. Delivery
We deliver nationally within South Africa using our courier partner, The Courier Guy, as well as offering local collection and drop-off in Britstown, De Aar, and surrounding Northern Cape areas. Estimated delivery times are provided in good faith but are not guaranteed, as they depend on the courier network and factors outside our control.
Risk in goods passes to you on delivery to the address provided at the time of order. Please inspect goods on receipt and notify us within 48 hours of any damage, shortage, or discrepancy.
6. IT Support and Repair Services
Where we provide device repair, maintenance, or IT support services, the following applies:
- A diagnostic assessment may be required before a repair quote can be confirmed; a diagnostic fee may apply, which will be disclosed to you upfront.
- Quotes are valid for 14 days unless otherwise stated, and are based on the fault(s) identified at the time of assessment. Additional faults discovered during repair will be communicated before further work proceeds.
- We are not liable for pre-existing data loss, and strongly recommend that customers back up all data before submitting a device for repair. Where data backup is requested as part of the service, this will be quoted separately.
- Devices left uncollected for longer than 60 days after we have notified you that the repair is complete may be subject to a storage fee, or, after reasonable attempts to contact you, may be disposed of or sold to recover costs, to the extent permitted by law.
- Warranty on repairs covers the specific fault repaired and the part(s) replaced, for the period stated on your repair invoice, and does not cover unrelated faults, misuse, liquid damage, or further physical damage occurring after collection.
7. Returns, Refunds, and Warranties
Returns, exchanges, and refunds on products and repairs are governed by our separate Returns & Repair Policy, available on the Website, which forms part of these Terms. Nothing in these Terms limits your statutory rights under the Consumer Protection Act 68 of 2008, including your right to return defective goods.
Manufacturer warranties on new products are passed on to you in accordance with the applicable manufacturer's terms. Where we provide an additional Visionetix warranty on a product or repair, the specific terms and duration will be stated on your invoice or receipt.
8. Intellectual Property
All content on the Website, including text, graphics, logos, product images, and software, is owned by or licensed to Visionetix and is protected by South African and international intellectual property laws. You may not reproduce, distribute, or use any content from the Website for commercial purposes without our prior written consent.
9. Acceptable Use
You agree not to use the Website in any way that:
- Violates any applicable law or regulation;
- Attempts to gain unauthorized access to our systems, data, or networks;
- Transmits any virus, malware, or harmful code;
- Involves fraudulent or misleading conduct, including providing false information when placing an order.
We reserve the right to suspend or terminate your access to the Website and to refuse service to anyone, at our discretion, where we reasonably believe these Terms have been breached.
10. Limitation of Liability
To the maximum extent permitted by law, Visionetix shall not be liable for any indirect, incidental, or consequential loss or damage arising from your use of the Website or our Services, including loss of data, loss of profit, or business interruption, except where such liability cannot be excluded under the Consumer Protection Act 68 of 2008 or other applicable law.
Our total liability to you for any claim arising from these Terms, whether in contract, delict, or otherwise, shall not exceed the amount paid by you for the specific product or service giving rise to the claim.
Nothing in these Terms limits our liability for death, personal injury, or fraud caused by our gross negligence, or any other liability that cannot lawfully be excluded.
11. Privacy
Our collection, use, and storage of your personal information is governed by our Privacy Policy, which is compliant with the Protection of Personal Information Act 4 of 2013 (POPIA) and is available on the Website.
12. Changes to These Terms
We may update these Terms from time to time to reflect changes in our business, services, or applicable law. The updated Terms will be posted on this page with a revised effective date. Continued use of the Website or our Services after changes are posted constitutes acceptance of the updated Terms.
13. Governing Law and Disputes
These Terms are governed by the laws of the Republic of South Africa. Any dispute arising from these Terms or your use of our Website or Services will first be addressed by contacting us directly to seek a resolution. Should a dispute remain unresolved, either party may refer the matter to the National Consumer Commission, an accredited consumer arbitration body, or the courts of South Africa, as applicable.

RETURNS & REPAIR POLICY

This Returns & Repair Policy explains your rights and our process when it comes to returning products purchased from Visionetix Technologies (Pty) Ltd ("Visionetix", "we", "us", "our"), and when it comes to devices submitted to us for repair. This Policy is written in accordance with the Consumer Protection Act 68 of 2008 ("CPA") and forms part of our Terms of Service.
1. Part A: Returns on Products Purchased
1.1 Cooling-Off Right for Online and Telephonic Orders
If you purchased a product from us without face-to-face contact — for example, through our website or telephonically — you have the right under the CPA to cancel the transaction without reason within 7 (seven) calendar days of receiving the goods. To exercise this right, contact us within this period and return the item unused, in its original packaging, with all accessories and proof of purchase. A refund will be processed once the item has been received and inspected. Please note that this cooling-off right does not apply to goods purchased in person at our premises.
1.2 Defective, Unsafe, or Not-as-Described Goods
If a product is found to be defective, unsafe, or does not match its description within 6 (six) months of purchase, you are entitled under the CPA to a repair, replacement, or refund, at your choice, at no charge to you, unless the defect was caused by misuse, normal wear and tear, or unauthorized modification after delivery.
1.3 Change of Mind
Outside of the statutory cooling-off period described in 1.1, we do not generally offer refunds for change of mind. Where we agree, at our discretion, to accept a change-of-mind return, the item must be unused, in original packaging with all accessories, and a handling fee may apply. Certain items — including opened software, custom-configured devices, and consumables such as ink or toner — cannot be returned for change of mind.
1.4 How to Return a Product
To request a return, contact us on 063 037 2804 or info@visionetix.co.za with your order number and reason for return. We will advise whether the item should be brought to our premises or collected by courier. Where a return is due to our error or a product defect, we will cover the return shipping cost; for change-of-mind returns, the customer is responsible for return shipping costs.
1.5 Refunds
Approved refunds will be processed to the original payment method within 7-14 business days of the returned item being received and inspected. Delivery charges are refunded only where the return is due to our error, a defect, or a cancellation within the cooling-off period.
2. Part B: Repair Services
2.1 Diagnostics and Quotes
When you bring a device in for repair, we will assess the reported fault and provide you with a quote before carrying out any chargeable work. A diagnostic fee may apply, which will be communicated to you upfront and is payable whether or not you proceed with the repair. Quotes are valid for 14 days from the date issued.
2.2 Data Backup and Data Loss
You are responsible for backing up your data before submitting a device for repair. While we take reasonable care during the repair process, Visionetix is not liable for any loss of data, software, or files that occurs during diagnosis or repair. If you require assistance backing up your data, we offer this as a separate, quoted service — please ask us before your device is submitted for repair.
2.3 Repair Warranty
Repairs carried out by Visionetix carry a warranty on the specific fault repaired and any part(s) replaced, for the period stated on your repair invoice (typically 90 days, unless otherwise specified). This warranty does not cover: unrelated faults; damage caused by misuse, liquid, or physical impact after collection; or repairs, modifications, or tampering carried out by anyone other than Visionetix after the original repair.
2.4 Additional Faults Found During Repair
If we discover additional faults not identified at the time of the original quote, we will contact you before carrying out any further chargeable work.
2.5 Collection of Repaired Devices
We will notify you once your device is ready for collection. Devices not collected within 30 days of this notification may attract a storage fee. Devices not collected within 60 days of notification, despite reasonable attempts by us to contact you using the details you provided, may be disposed of or sold to recover reasonable costs incurred, to the extent permitted by law. We encourage you to collect your device promptly to avoid this.
2.6 Devices We Are Unable to Repair
Where a device cannot be economically or safely repaired, we will inform you and, where applicable, return the device to you at no further charge beyond any diagnostic fee already payable.
3. Your Statutory Rights
Nothing in this Policy limits or excludes any right you have under the Consumer Protection Act 68 of 2008, or any other applicable South African consumer protection law. Where any provision of this Policy conflicts with the CPA, the CPA will prevail.
